ICRTAI 2025 Conference Visual and AV Production
Led visual design and live AV execution for a large hybrid AI conference, supporting stage content, branding materials, and real-time session delivery.
Overview
ICRTAI 2025 was a two-day hybrid conference on recent trends in artificial intelligence, held in Birtamode, Nepal on June 28-29, 2025. The event brought together more than 500 participants from academic institutions, industry, research communities, and public-sector organizations.
The program included keynote talks, technical paper presentations, panel discussions, networking sessions, and project demonstrations. My role focused on the visual and technical layer of the conference: making sure branded materials, stage content, and live screen delivery all worked clearly in a fast-moving event environment.
Role
I worked as the visual design and AV production lead for the conference delivery environment.
- Designed stage-facing visuals and branded conference materials.
- Prepared presentation assets for keynote, technical, and formal stage sessions.
- Managed live screen content and switching through OBS Studio.
- Coordinated visual updates with speaker flow, timing, and event operations.
- Supported printed materials and display assets to keep the conference experience visually consistent.
Execution
This work required more than static design production. The conference ran as a hybrid event with multiple session formats, which meant the visual system had to hold up under live timing, technical constraints, and constant coordination.
- Built visual assets that prioritized readability in a conference setting.
- Supported real-time AV execution for stage content and hybrid session flow.
- Worked across digital and physical materials rather than treating them as separate outputs.
- Helped maintain consistency across presentations, branded materials, and live display content.
- Coordinated with organizers and speakers so transitions and screen content stayed aligned with the program.
Outcomes
The conference delivered a large hybrid AI event with coordinated visuals, reliable screen support, and a more cohesive presentation layer across sessions. For my portfolio, this project stands as a strong example of execution under live conditions, where design quality, timing, and technical coordination all mattered at once.
It also reflects the kind of work I do well: operating between design, systems thinking, and event delivery rather than treating those as isolated responsibilities.
